Meeting Notes & Action Items

A call recording becomes a summary, owned action items, and CRM notes — no one types during the call.

What it watches

Call recordings and transcripts as they become available

What it does

Summarises the call, assigns each action item an owner, and logs it to your CRM or task board

When it asks a human first

An action item with no clear owner, or a commitment that sounds like a scope or price change, is flagged for you to confirm rather than logged as-is. A flagged item still gets logged to your task board immediately, marked unconfirmed rather than held back entirely, so a real commitment never quietly waits offline for review while the rest of the team already assumes it's being handled.

How it works

  1. 1
    Picks up the recording

Pulls the transcript the moment Zoom (or your call tool) marks the recording ready — no manual export. For a back-to-back day of client calls, that means the first summary can already be in your inbox before the second call even starts.

  2. 2
    Summarises the call

Produces a structured summary: what was discussed, decisions made, and open questions — not a wall of raw transcript. The summary is organised by topic, not strictly by the order things were said, so a decision made early and revisited near the end shows up once, together, not twice.

  3. 3
    Extracts action items

Identifies each commitment made during the call and assigns it to the person who said it, with a due date if one was mentioned. A commitment made by a client is tagged separately from one made by your own team, since chasing your team's follow-through is a different workflow from tracking what a client owes you.

  4. 4
    Logs to your systems

Pushes the summary and action items into your CRM or task board so nothing lives only in a chat thread. A link back to the exact transcript moment travels with each action item, so a task that reads ambiguous on its own can be traced to the sentence that created it.

  5. 5
    Flags what is unclear

An action item with no clear owner is flagged for confirmation instead of being assigned on a guess. The same flag fires if two people seem to claim the same commitment, rather than the agent picking one arbitrarily and hoping it's right.

What triggers it

  • · A call recording finishes and becomes available
  • · A transcript is generated from Zoom or another call tool
  • · An action item is mentioned during the call
  • · A commitment has no clearly assigned owner

What you get

  • · A structured meeting summary
  • · Action items logged to your CRM or task board, each with an owner
  • · A follow-up reminder scheduled for each open item
  • · A searchable transcript archive per client or project

Not the right fit if

Not for teams that do not record their calls — there is no transcript for the agent to work from. It's also the wrong tool for calls where the content itself can't be transcribed or stored outside the room — legal-privileged conversations, HR investigations, anything under an NDA that specifically excludes third-party processing — no matter how good the recording is.

The math

At ~40 meetings/mo × 15 min, that is roughly 10 h/mo — an estimate, not a guarantee.

Frequently asked

No — it works from the recording your call tool already makes (Zoom or similar). It never activates a microphone on its own.

It handles mixed Farsi/English calls, though accuracy on heavy code-switching is lower than single-language calls — flagged sections are marked for review.

Mostly, yes — but anything ambiguous is flagged rather than logged as a hard commitment.

Wherever you already track work — HubSpot, a task board, or a shared doc, configured once at setup.

Speaker labels come from your call tool's own diarisation, not a guess layered on top — if Zoom itself can't confidently separate two overlapping speakers, that segment is marked ambiguous instead of attributed to the wrong person.
