Returns & RMA Agent
A return request gets checked against your policy and a shipping label instantly, no back-and-forth.
What it watches
New return and RMA requests submitted by customers
What it does
Checks the request against your return policy, issues a label when it qualifies, and flags exceptions
When it asks a human first
Outside your policy window, above a value threshold, or a damage/fraud-pattern reason holds the request for your approval before any label is issued. A denied request doesn’t just close silently, either — the customer gets a clear reason back (outside the window, item condition, category exclusion) rather than a bare rejection, so the first they hear of a "no" isn’t a confused follow-up email to your inbox.
How it works
- 1Receives the request
Captures the return request from your storefront’s return form, with reason, item, and order reference. A request tied to an order with multiple items also captures which specific line is being returned, not just the order as a whole, so a five-item order doesn’t need five separate tickets.
- 2Checks it against policy
Compares the request to your return window, condition requirements, and any per-category exceptions. Some categories — final-sale, made-to-order, opened cosmetics — can be marked non-returnable at the product level, and the check respects that override even where the general policy window would otherwise allow it.
- 3Issues the label
For a qualifying request, generates and emails a prepaid shipping label immediately — no back-and-forth. The label’s return address and carrier are pulled from your shipping settings directly, so a change to your warehouse address updates every label issued afterward without anyone touching this agent’s config.
- 4Flags what does not qualify
Outside the window, above a value threshold, or a flagged reason (damage claim) routes to you before a label goes out. A flagged reason still carries a suggested decision — approve, deny, ask for a photo — based on how similar past requests were resolved, so you're confirming a recommendation, not starting from zero.
- 5Updates inventory
A returned item gets flagged for restock or write-off based on the condition reported, keeping inventory accurate. A damaged item specifically never goes back into sellable stock automatically — it’s routed to a write-off or refurbishment flag instead, so a return can’t silently become a defective unit resold to the next customer.
What triggers it
- · A customer submits a return or RMA request
- · A return reason is selected in the request form
- · The request value exceeds your auto-approval threshold
- · A return falls outside your policy window
What you get
- · An approved return with a shipping label issued instantly
- · A flagged out-of-policy request in your approval queue
- · A weekly returns report by reason and product
- · A restock or write-off instruction sent to inventory
Not the right fit if
Not for digital-only products — there is no physical return flow for this agent to run. It’s also not built for a purely in-store retail return counter with no online order or return form behind it — the agent needs a digital intake point to work from, not a customer walking up to a till.
The math
At ~80 return requests/mo × 6 min, that is roughly 8 h/mo — an estimate, not a guarantee.
Frequently asked
No — only requests that clearly qualify under your written policy. Anything outside it, or above a value threshold, waits for you.
It flags patterns (same customer, high return rate, mismatched reasons) for your review — it does not deny a customer on its own.
Yes — it issues labels through the shipping account you already use, no new carrier relationship needed.
They share order data — Order Status handles the shipping-out side, this one handles the coming-back side.
Yes — the request is scoped to the specific line item being returned, not the whole order, so the label and the inventory update only ever apply to what’s actually coming back.
